Tips for using the excel spreadsheet:
Editing of the original link has been blocked, you must download a copy and enable editing of the copy.
The information you enter on the spreadsheet will be imported into our Games Management System (vs being manually entered as done previously). It is VERY important to include complete and accurate spellings of names and accurate DOB for all participants (including coaches) so that GMS does not create a different individual profile.
Incomplete forms with missing DOBs, events, qualifying scores, etc. will not be accepted.
Please use the dropdown selections for gender, role and events.
Enter timed qualifying scores with mm.ss.ms format, separating minutes, seconds and milliseconds with a period (vs colon) for example 2 min 10 sec should be 2.10.0 (note 2.10 will be read as 2.1 seconds) For relays, enter the team total time.
Enter distance qualifying scores in meters.centimeters, NOT feet and inches! (ex. 1.78 will be read as 1 meter and 78 centimeters).
Complete one line for each participant.
Be consistent with your delegation name (so GMS does not create separate delegations for you)
Do not modify the format of this spreadsheet.
We are here to help troubleshoot, and are learning as well to smooth out any kinks!
Required Paperwork:
Reminder: Complete ALL required forms below for Athletes, Coaches, Volunteers & Partners prior to the event if you have not already done so previously.
ATHLETE REGISTRATION PAPERWORK: SOME announced that effective 10/11/24 there is a new athlete registration packet. This packet no longer requires a physician signature for participation. This can be completed online (preferred) or in paper form and emailed to sarahp@somaine.org. Please keep a copy for your records! After January 1, 2025 the old athlete forms will no longer be accepted. All athletes wishing to participate in this event will be required to complete the new packet. The packet is good for one year and just a renewal signature is required in subsequent years if there has been no change to athlete history.

First Call for Volunteers! If you are a business, group, or team of 5 or more individuals that would like to volunteer for this event please reach out to the Volunteer Coordinator, Heather Wheaton, at heatherwspecialo@gmail.com.
Training: Despite the current weather conditions, it is important to be training now in order for athletes to be properly prepared for competition. Encourage your athletes to do stretching and warm-up activities. Encourage athletes to outdo their own best time/measurement or to train for new or more challenging events. Athletes in Motor Activities must also be trained in their chosen sport. Don’t forget to record times and measurements during practices as accurate scores are essential for creating well matched heats.
This information and the registration links will also be available on the SOMaine website at https://www.somaine.org/events/calendar-of-events/ by selecting the May 14th event date on the Calendar of Events.
If you have questions about the registration process please contact Christina Ehrhard, tina.specialo@gmail.com.
We look forward to seeing everyone in May!
